Purpose
This Acceptable Use Policy ("AUP") describes what you may and may not do with the Akauntants service. It protects our platform, our other users, and the integrity of Philippine financial and tax reporting. This AUP is incorporated into the Terms of Service.
Permitted use
You may use Akauntants to:
- Manage accounting records for your legitimate Philippine business operations.
- Generate, store, and file BIR-compliant forms and financial reports.
- Process payroll for your employees in compliance with DOLE and BIR requirements.
- Invite authorized team members (accountants, bookkeepers, employees) to collaborate on your organization's account.
- Use AI features to assist with data entry, categorization, and form drafting.
- Export your data in machine-readable formats for your own business purposes.
- Integrate Akauntants with authorized third-party tools via our API, subject to our API terms.
Prohibited use
You may not use Akauntants to:
- Tax evasion or fraud. Enter false, fabricated, or deliberately misleading financial data for the purpose of underreporting income, inflating expenses, or otherwise defrauding the BIR or any other government authority.
- Money laundering. Process transactions designed to conceal the origin of illegally obtained funds.
- Unauthorized access. Attempt to access another organization's account, data, or systems without authorization.
- Abuse of AI features. Use AI-powered features to generate fraudulent invoices, receipts, or financial documents.
- Reselling or repackaging. Resell, sublicense, or repackage Akauntants' features as your own product without our written consent.
- Automated scraping. Use bots, scrapers, or automated tools to extract data from the Akauntants platform in a manner that is not covered by our API.
- Interference. Take any action that imposes an unreasonable load on our infrastructure, disrupts service availability for other users, or interferes with the security of the platform.
- Illegal activity. Use the service for any purpose prohibited by Philippine law, including but not limited to violations of the Cybercrime Prevention Act (RA 10175), Anti-Money Laundering Act (RA 9160), and the NIRC.
- Unauthorized data processing. Process personal data of third parties through Akauntants without a lawful basis under RA 10173.
- Multiple accounts to circumvent limits. Create multiple accounts to bypass plan limits, feature restrictions, or enforcement actions.
Data accuracy
You are responsible for the accuracy and completeness of all data entered into Akauntants. The BIR compliance tools in Akauntants generate form drafts based on the data you provide; they do not substitute for your legal obligation to file accurate returns. Entering knowingly incorrect data violates this AUP and may violate Philippine law.
Security
You must not attempt to probe, scan, or test the vulnerability of the Akauntants system or to breach its security measures without prior written authorization from us. Authorized security research should be coordinated through our responsible disclosure program at security@akauntants.cloud.
You must keep your account credentials secure and not share them with unauthorized parties. You must not use another user's credentials to access the service.
Uploaded content
You may upload documents, images, and files (receipts, invoices, payroll records, etc.) to Akauntants for processing. You represent that you have the right to upload such content and that it does not violate any law, third-party rights, or this AUP.
You must not upload content that contains malware, viruses, or any code designed to interfere with our systems.
Enforcement
We may investigate suspected violations of this AUP. If we determine that a violation has occurred, we may take any of the following actions, at our discretion:
- Issue a written warning.
- Temporarily suspend access to the service or specific features.
- Permanently terminate the account.
- Report the conduct to law enforcement or regulatory authorities (including the BIR and NPC) where required by law or where we determine it is in the public interest.
We will make reasonable efforts to notify you before taking enforcement action, unless the violation is severe, ongoing, or where notice would impede an investigation.
Reporting violations
If you become aware of a violation of this AUP by another user or by a third party, please report it to trust@akauntants.cloud. We take all reports seriously and will investigate promptly.
