Send the quotation → receive a PO or signed acceptance → proceed with delivery → issue invoice upon delivery or per agreed terms.

VAT Note

If you are VAT-registered, always show VAT as a separate line item in your quotation. Quoting "₱50,000 all-in" to a VAT-registered buyer may create disputes later when they ask for the VAT breakdown for input VAT purposes.

If you are non-VAT registered (percentage tax payer), remove the VAT line and add a note: "Price is inclusive of all applicable taxes. No VAT."

Philippine Business Practices

Negotiation: Quotations in the Philippines are often starting points for negotiation, especially in construction, manufacturing, and government procurement. Build some negotiation margin into your quoted price.

Government bids: If quoting for government contracts, you must follow RA 9184 (Government Procurement Reform Act) requirements. This template is for private sector use only.

Validity period: Always include a validity period. Material and labor costs change — an open-ended quotation can expose you to losses if prices increase.
